How we switched 16 meetings into leads ready for conversion?
“The greatest value of this process was that the lead was passed on for further handling with all the necessary context already in place: meeting notes, organized data, enriched information, and communication history.”
Challenge
Challenge
During E-commerce Connect 2026, it was necessary to maintain a high standard of preparation, note-taking, and follow-ups, even though some companies did not attend the event, and after the presentations by representatives from Automation House and Tigers, additional meeting requests came in.
- The list of discussions changed throughout the event, so the preparations made just the day before quickly became out of step with the actual meetings taking place.
- The findings from the meetings had to be immediately converted into organized notes, tasks, and context for further sales activities.
- Attendees at events are most valuable when they’re talking to people and identifying sales opportunities, not when they’re manually entering data, prices, and information into the system after the event.

- 7–10
- changes to the list of meetings handled on an ongoing basis
- 12:00 p.m.–8:00 p.m.
- handmade items that we have recovered
The Process
How did we do it ?
- 1
Preparation that kept pace with reality
E-commerce Connect Assistant prepared the context for conversations based on the meeting list, but its true value became apparent when the daily schedule changed during the event itself. When some companies were dropped from the agenda and new meeting proposals emerged after on-stage presentations, the agent immediately updated the preparations for the conversations that were actually going to take place.
- 2
The first agent gathered intelligence, while the second took over the tedious operation
During the meeting or immediately afterward, the details were dictated over the phone: what the client needed, what needed to be sent, what the team was committing to, and when to follow up. The first agent turned this into a coherent note, and then the next stage of the system took over: the lead had already been created, had gone through lead enrichment, and the Pipeline Housekeeper organized and supplemented the data needed for further handling.
- 3
Follow-up and handoff without losing context
After the event, another agent prepared a draft follow-up based on the lead’s information and meeting notes, but in a style similar to that of the person who led the meeting, rather than that of a generic AI. After sending the email from ClickUp, all subsequent correspondence remained with the lead, allowing the new business team to take over the matter without needing access to a private inbox and without requiring an additional verbal explanation of the contact history.
Additional objectives
What else have we accomplished?
- Relieve salespeople of administrative work after events
- Focus the team's attention on relationships and conversations
- Standardize the workflow for upcoming events and leads

Customer review
“The greatest value of this process was that the lead was passed on for further handling with all the necessary context already in place: meeting notes, organized data, enriched information, and a communication history. Thanks to this, there was no need to ask for basic details or piece together agreements from someone else’s memory or personal email inbox. From a new business perspective, this means getting up to speed faster, less risk of losing information, and a much smoother handoff of the relationship after an event."

An Expert's Perspective
“At an event, the most important thing for me is to be prepared to talk to people, not to worry about how I’ll reconstruct everything later from my notes, memory, and email inbox. Here, the system responded to changes in the meeting schedule in real time, compiled my notes, and passed the work along without losing context. Thanks to this, I was able to focus on the people rather than on the tedious, frustrating administrative work after the event. What made the biggest difference was that after the meeting, the lead was already ready for further work, instead of having to wait for someone to manually fill in all the information."
