How we shortened production case case from 2 days to 40 minutes?

Before the new process was implemented, preparing case studies was a manual, fragmented, and difficult task that required the marketing team to find the right people, reconstruct project histories, and keep track of the various stages of work.

  • The marketing person had to find someone each time who remembered the project and could put together a meaningful batch.
  • Just preparing the content itself required about 2 hours of research—looking through tasks, comments, meeting notes, and my own memory—as well as a 1-hour interview with an expert.
  • The entire process of preparing a case study could take as long as 16+ working hours, because after gathering the materials, we still had to manually pass the task on to others and keep track of who was supposed to take over the next stage and when.

How did we do it ?

    The process starts automatically

    The process doesn't start only when someone manually thinks to create a case study. When a project ends, the system responds by creating a new task in the Case Studies list, complete with a full set of subsequent subtasks and assignments of responsibility to specific individuals.

    The specialist receives a ready-made set of data instead of a blank sheet of paper

    Once it’s clear who is responsible for gathering the relevant information, that person doesn’t have to manually dig through several months’ worth of collaboration data. Case Study Wizard collects data from the client’s history, folder, meetings, statuses, and brief, and then presents it in a condensed, organized format that the specialist can review, correct, and refine.

    The subsequent stages transition smoothly from one person to another

    Once the content has been prepared, the process doesn’t stop with just one person. Tasks are linked by dependencies, so the next people in the pipeline—from approval, through refining the content and preparing the version for the website, all the way to publication and social media—receive notifications exactly when they can take over their part of the work.
